Creating Rules for Great-Fit Patients: How Setting Standards Multiplies Growth
When you first open or buy a dental practice, it is easy to adopt a scarcity mindset. You feel like you need to treat anyone with teeth who walks through your door. But taking every lead blindly often creates friction, stress, and burnout.
Inspired by direct response marketing expert Dean Jackson, Episode 138 of the Dental Marketing Secrets Podcast explores why setting clear “rules” for your ideal patients doesn’t limit your practice—it multiplies it.
The Abundance Shift: Scarcity vs. Abundance
Operating out of scarcity forces you to accept every patient, regardless of red flags. Operating out of abundance allows you to set standards that ensure great clinical outcomes.
| Scarcity Mindset | Abundance Mindset |
| Focuses on: “How do I get more patients?” | Focuses on: “What has to be true to get the best result for this patient?” |
| Accepts every patient out of fear of missing revenue. | Filters for high-alignment, great-fit patients. |
| Accommodates unrealistic demands and price shoppers. | Refers out non-ideal cases to protect office culture. |
5 Rules for Identifying Great-Fit Patients
1. Patients Value What You Excel At A great-fit patient appreciates your specific clinical strengths. If you run a high-end cosmetic practice, your ideal patients value detail and aesthetics. If you run a family practice, they value long-term relationships and trust. Stop trying to be everything to everybody.
2. Expectations Align with Reality Frustration stems from unmet expectations. A great-fit patient understands that complex clinical outcomes take time, proper investment, and realistic conditions.
3. They Participate in the Outcome Dentistry is collaborative. Whether it’s wearing aligner elastics, keeping hygiene appointments, or following post-op care, ideal patients actively take responsibility for their clinical results.
4. They Value Expertise Over the Lowest Price Price-obsessed “tire kickers” ignore experience, technology, and patient care. Ideal patients prioritize finding the right practitioner over the cheapest option.
5. You Can Genuinely Solve Their Problem If a case falls outside your wheelhouse or ideal scope, the most valuable move for both parties is referring them to a specialist. Honesty builds long-term authority and trust.
Eliminate Exceptions to Eliminate Headaches
Every exception introduces friction. Think back to your most frustrating patient interactions over the past year—unrealistic demands, price disputes, or constant missed appointments. These were likely exceptions to your core standards.
Ask your team these 5 reflection questions:
- Who consistently gets the best results in our practice?
- What conditions must be true to deliver an exceptional outcome?
- What are the warning signs of a non-fit patient?
- Where are we making repeated exceptions that cause friction?
- What are we no longer willing to compromise on?
Setting boundaries removes deadweight and allows your practice to scale faster with less operational stress.
